How we work, in writing.

This page answers common questions about how VI PICK quotes, sources, ships, and handles your information.

This page is a general policy summary. Each order is confirmed through its own written quote, which includes the final item details, price, payment terms, and shipping notes.

How we work

VI PICK is a personal sourcing service based in Ho Chi Minh City. You send us a photo, link, or social post; we check availability with the Vietnamese brand or seller and reply with a written quote before any payment is discussed.

We do not run a shop. There is no cart, no checkout, and no fixed catalogue. Every request is handled as a one-to-one conversation.

Quotes & payment

You will always receive a written quote before paying anything.

Your quote = item price + 15% service fee + international shipping.

  • Pay a 50% deposit to place the order, then the remaining 50% plus shipping before dispatch.
  • Orders are processed within 2–7 days after the deposit, then shipped by tracked courier.
  • We accept bank transfer or Wise in USD or VND.
  • Quotes may be shown in USD or VND. You pay the confirmed amount through the method agreed in your quote.
  • Customs duties, import VAT, and destination-country taxes are not included in the quote.

If a confirmed quote changes because a brand adjusts price or availability, we will notify you before charging the balance.

Sourcing & authenticity

We source from Vietnamese brands, ateliers, and sellers we can verify.

Vintage, secondhand, and small-batch pieces are described honestly, including any visible wear. Photos of the actual piece can be shared on request before shipping.

Ready-made pieces are sized by each brand, not made to measure. Check size guides, listed measurements, and fit notes before you pay a deposit.

Shipping & customs

We arrange international shipping with tracked courier options where available. Estimated delivery depends on destination, courier, customs, and local handling.

Customs duties and import taxes are your responsibility. We cannot predict or pre-pay them, and we declare the true commercial value on customs forms.

  • Shipping is quoted per destination and weight. A tracking number is provided once the parcel is dispatched.
  • Delivery windows are carrier estimates and can be affected by customs clearance in your country.
  • You are the importer of record for international shipments.
  • Parcels refused at customs or returned to sender due to unpaid duties cannot be refunded for the outbound shipping cost.
  • We do not mark packages as gifts.

Returns, refunds & disputes

Orders cannot be cancelled after purchase and customer-initiated changes are not refundable. If we can't source the confirmed item, the deposit is fully refunded.

  • If an item arrives damaged or is materially different from what was quoted, contact us within 7 days of delivery with photos. We will work with the brand or carrier on a resolution.
  • Because each order is sourced to request, we cannot accept change-of-mind returns once the deposit is paid and the item has been secured with the brand.
  • If a brand cannot fulfil after your deposit is paid, we refund the deposit in full.
  • Service fees on completed, delivered orders are non-refundable.

Privacy & your information

To handle a request we typically collect your name, delivery address, contact handle, sizing details, and the reference photos or links you share.

  • We use this information only to prepare quotes, arrange sourcing, support payment records, and ship your order.
  • We share the minimum necessary details with brands, sellers, payment partners, and shipping carriers to fulfil your order.
  • We do not sell your personal information or use it for third-party advertising.
  • You can ask us to access, correct, or delete your personal information at any time; some records may be retained where required for tax or accounting.
  • We never post your photos, name, or testimonial without your explicit permission.

Messaging platforms, email providers, analytics tools, and payment services apply their own privacy terms to activity that happens on their services.

Messaging channels

Our only official channels are the WhatsApp number, Instagram, TikTok, and email address listed on the Contact page. If a message about VI PICK reaches you from any other account or number, treat it as unverified and check the Contact page before responding.

We will never ask for payment before you have a written quote, and we will never request card PINs, banking passwords, or one-time codes.
